Microsoft 365 Setup Guide
Part 1: Initial Login and MFA Setup at outlook.office365.com
Initial Login
Begin by navigating to outlook.office365.com. Enter your email address and password to sign in. You will then be prompted to provide additional security information to proceed.
MFA Setup Process
When prompted, select Next and choose Mobile App as your authentication method. You can opt to Receive Notifications for Verification (with biometric support) or Use Verification Code. Click Set Up and keep this browser window open.
Microsoft Authenticator App Setup
On your phone, find and install the Microsoft Authenticator App from your app store. Open the app, complete the setup wizard, then tap the plus sign (+) to add a Work or School Account. Accept permissions and scan the QR code from your computer screen. Once added, select Got It.

  1. Return to your computer and click Next twice[1]
  1. On your phone, note the verification code[1]
  1. Enter the code on your computer and click Verify[1]
  1. Enter a backup phone number (office number recommended)[1]
  1. Click Next, then Done[1]
Outlook App Setup for Android or iPhone
  1. Download Microsoft Outlook from Google Play Store or App Store
  1. Open the app and tap Get Started
  1. Enter your Microsoft 365 email address
  1. Tap Continue and enter your password
  1. Complete MFA challenge if prompted
  1. Configure notification and sync preferences
  1. Tap Done to complete setup
The Outlook app provides better integration with Microsoft 365 features and calendar sync compared to Gmail for Exchange accounts.
Built-in Mail Setup for iPhone

Open Settings & Navigate to Mail
Open Settings on your iPhone.
Scroll down to Apps (you may have to scroll quite a bit).
Tap Mail.
Tap Mail Accounts.

Add Microsoft Exchange Account
Tap Add Account.
Choose Microsoft Exchange.
Enter your full email address
Tap Next.

Sign In & Authenticate
Tap Sign In (not Configure Manually).
Enter your password.
Complete any two-factor authentication if prompted.
Approve the sign-in request (if security policies require it).

Configure Sync Options & Save
Choose what you'd like to sync (Mail, Contacts, Calendars, Reminders).
Tap Save.
iPhone Default Contacts and Calendar Setup
Set Default Contacts Account
  1. Open Settings on your iPhone
  1. Scroll down and tap Apps
  1. Tap Contacts
  1. Tap Default Account
  1. Select your Microsoft 365/Exchange account from the list
  1. New contacts will now automatically save to this account
Set Default Calendar Account
  1. Open Settings on your iPhone
  1. Scroll down and tap Apps
  1. Tap Calendar
  1. Tap Default Calendar
  1. Select your Microsoft 365/Exchange calendar from the list
  1. New calendar events will now automatically save to this calendar
Key Notes
Default account only affects new entries - existing contacts/events stay in their original accounts
Setting is not retroactive - won't move existing data to the new default account
If you only have one account enabled for contacts/calendar, no default option will appear
You can always change the account/calendar for individual entries after creation
This ensures your iPhone uses your Microsoft 365 account as the primary storage for new contacts and calendar events, maintaining consistency with your work environment.
